Keying New Records for Electronic Resources (QuickCat)

Preliminary Steps:

  1. Log on to Tripod in staff mode
  2. From Main Menu, select:  D > Catalog DATABASE maintenance
  3. Select:  K > KEY new records
  4. After entering name and password, select:  1 > BIBLIOGRAPHIC Records  then,  12 > quick : Quick Web Cat
  5. Give the indicated responses to the prompts
    Do you want to key MARC records? (y/n) y
    Do you want to key SUBSTITUTION phrases? (y/n) n

    Are all options as you want them? (y/n) y

The fields below represent the main fields used when keying titles into Tripod which represent electronic, especially WWW, resources. This page follows fixed field and MARC tag order which will be encountered when keying records using the template for QuickCat Ref in Tripod, followed by the instructions and any examples used to illustrate the proper keying of the field or tag.

130 0 (Uniform title) Press [RETURN] then type the title of the site followed by the word "Online" in parentheses, unless the title already has the word "Online" in it. E.g.,
130 0 Culture of amnesia (Online)

24500 (Title proper) Press [RETURN] then type the title of the site followed by a subfield "h", brackets with the word "electronic resource" in the brackets. For keying purposes, do not input initial articles into the title field E.g.,
245 00 Culture of amnesia|h[electronic resource]

222 0 (Key title/Journal title) USE THIS FIELD ONLY IF THE SITE IS A SERIAL. Press [RETURN] then type the title of the site followed by a subfield "b" and the word "Online" in parentheses. For keying purposes, do not input initial articles into the field. E.g.,
222 0 Culture of amnesia|b(Online)

222 0 Psychopharmacology of Jell-o|b(Online)

246 3 (Alternate title) Press [RETURN] then type an alternate version of the title, used usually when several title-like phrases appear on the title screen of the site itself.

866 (Full-text online holdings) USE THIS FIELD ONLY IF THE SITE IS A SERIAL. Press [RETURN] then type the online holdings:

520 (Top note/summary) Press [RETURN] then type a summary description of the site if so desired. You may use cut and paste from the site itself, but remember that you can only cut and paste one line at a time. E.g.,
520 Contains abstracts to over 30,000 articles on the juxtaposition of popular culture, memory loss, and Fritos corn chips

500 (Note) Press [RETURN] then type any other kind of note you wish to have in the record. Press [RETURN] again if you don't have any other notes to enter.

650 0 (Subject) Press [RETURN] then type an appropriate subject heading from the authorized list of LC headings followed, if desired, by a form subdivision separated by a subfield "v". You may add other subjects if desired after you have finished going through the template by typing "I" to insert a field, "d" for subject, then [RETURN], then your heading. E.g.,
650 0 Sociology|vPeriodicals
650 0 Anthropology|vDirectories
650 0 African-Americans

710 2 (Alt. entry/corporate body added entry) Press [RETURN] then type the name of any necessary corporate entry. Usually, this will include the issuing body, the publisher, or the group who created the intellectual content of the site. E.g.,
710 2 Shiny Happy People, Inc

856 4 (other/URL) Press [RETURN] then type a subfield "u" then the URL of the site, followed by a subfield "z", which displays in WebPac as the link wording, and then the words Connect to [name of site]. E.g.,

029 0 (mark for going into new database) Press [RETURN] then type "2D"

910 (name of person inputting record and/or faculty requester) Press [RETURN] then type the name of the person inputting the record

Once you have entered data for the prompts, you have a chance to edit mistakes or add other fields, should you so desire. If you want to add or edit fields, type f to go to FULL SCREEN EDIT. Then you can type [CONTROL]-f to see all of your possible edit actions. To insert a field, type [CONTROL]-n, then type the MARC tag of the field you want to enter, e.g., another alternate title (246 3) or another subject heading (650 0) following the spacing conventions of the existing fields in the records.

To edit a field where you want to change data, e.g., spelling mistakes, keystroke errors, make sure you are in INSERT mode. Typing [CONTROL]-o toggles between INSERT and OVERWRITE. Move your cursor using the arrow keys to the line that you want to change, and use the backspace key to delete data or just type over data in OVERWRITE mode.

When you have finished with the record, type [CONTROL]-e to exit FULL SCREEN EDIT.

Typeq to QUIT.

Type a to add the record to the database, then if you have more records to key, type y; otherwise, type n
