Requesting an Account:
E-mail accounts will be created for most incoming students prior to their arrival, and do not need to be specially requested. Students will receive information about their e-mail accounts during orientation.
Accounts for new employees (faculty or staff) may be requested by the hiring department supervisor or department liaison prior to the employee's arrival on campus. These accounts must be requested through the form found on-line at http://www.brynmawr.edu/computing/docs/acctreq.html. This form may also be used to request additional accounts at later dates.
Authorization to Receive an Account:
In order to receive any account, one must be an employee, student, or affiliate of the College. See the chart below for an explanation of each status and which accounts the status entitles you to. If you have any questions about your status, please check with your supervisor, or contact the "Authorizing Office" listed in the chart.
A College ID number is required to request and receive any account. Your ID number is found on the ID card issued to all students, faculty, and staff. See Obtaining Temporary Employee Status below for information on receiving an ID number for temporary employees. The College ID number must be entered in on the Account Request Form in order for any account request to be processed. To receive the password for any account you must come in person to the Computing Center in Guild Hall and present a valid College ID card. Temporary employees, who do not receive ID cards, may use any valid picture ID in place of the College ID. Passwords will not be issued to anyone other than the account holder.
E-mail accounts will be created for any member of the Bryn Mawr community, other than temporary employees. Most other accounts will be created upon request, as they are needed. Certain accounts will require the approval of an authorized supervisor or department liaison.

Obtaining Affiliate Status
Affiliate status allows individuals who are not enrolled students or current employees of the College to receive access to College computer systems while working on an academic project with a College community member. Research associates, volunteers, and collaborators from other academic institutions are examples of possible affiliates. Affiliate status may be granted by the Office of the Provost, upon request of the academic sponsor (who must be a bona fide member of the College academic community). Once the status has been granted the affiliate should receive a letter of affiliation from the Office of the Provost. Affiliations are generally granted for one academic year, but may be renewed upon request of the sponsor.
Obtaining Temporary Employee Status
The College has, in the past, hired staff from temporary staffing agencies to help out during periods of unusually high workload or to fill in until a vacant position can be filled permanently. The duties of these temporary workers often require access to the administrative database or departmental files stored on central servers. Temporary employees differ from regular employees in that they are hired through an outside agency and not paid directly by the College. Temporary employees as a rule do not receive College ID numbers and would not be entitled to access to College computer systems. If it is determined that a temporary employee will require computer system access, the hiring department head should notify Human Resources, in writing, that the temporary employee should be entered in the Affiliates/Temporary Employee database. Once this is done, the department head will receive an ID number for the temporary employee. This ID number can then be used to request the necessary accounts. Temporary employee status is granted for no more than 3 months, but may be renewed (in 3-month increments) at the request of the hiring department. Please note that it is only necessary to request Temporary Employee status from Human Resources if the employee will require computer access to perform his/her job functions. Also note that temporary employees will not receive e-mail accounts.
Closing of Accounts
Accounts will be closed under two circumstances: abuse of access or departure from the College. The College reserves the right to suspend access to computing resources and/or accounts at any time.
Abuse
Any violation of Bryn Mawr College Policy will constitute abuse of access. Suspicions of abuse will be reported the appropriate College judicial body, which will determine if abuse occurred, and the consequences for such abuse. Access to computing resources and/or accounts may be suspended immediately pending investigation of an incident. Consequences for abuse may include suspension or closing of a particular account or total network access. Other disciplinary action may be taken, as the judicial body deems appropriate.
Departure from the College
Departure from the College will be defined as graduation or withdrawal from enrollment for students, termination of employment for employees, or expiration of affiliate status for affiliates. All accounts, excluding e-mail, will be locked at 5 PM on the day of departure from the campus. Approximately 30 days later the account and all files owned by the account will be removed from the servers. No warnings will be issued prior to the closing of these accounts.
E-mail accounts
E-mail accounts will be locked approximately 1 month following the date of termination of employment. A thirty-day warning will be issued via e-mail prior to the account closing. The account and files owned by the account will be removed from College servers approximately 5 days after the account was locked. Students who graduate or complete their program in May will be given a 2-month grace period extending their departure date. I.e., a student who graduates in May will be considered to have a departure date in July, 30 days after which the account will actually be closed. Therefore students who graduate at the end of any academic year will have use of their e-mail accounts until approximately the beginning of the following academic year, in late August.
Faculty Emeritus
Faculty Emeritus are entitled to lifetime access to College systems, as needed or requested. Accounts not accessed for extended periods of time may be locked or closed due to inactivity. These accounts will be reactivated upon request.
Shared Files
Shared files (i.e. those files accessible to more than one person on a network server) will not be affected by the closing of an individual account. Only files in the individual account will be removed. It is the responsibility of the department to ensure that any files stored in an individual account are copied or moved to a shared or other location prior to the closing of an account, if others will need them in the future.
