POSITION OBJECTIVE:   Performs a wide variety of administrative and accounting duties to support this officer, the Enrollment Leadership Team (the directors of admissions, student financial services, student administrative support, and the registrar) as well as the entire Enrollment Unit.

Enrollment Division

  • Financial/Accounting
    • Handle bookkeeping and budget management functions, tracking expenses,  and setting up and running budget reports using Financial Edge for five departments (00301, 00308, 00309, 00313, 00318,) and several special projects (C3, Posse, GSSWSR Admissions)
    • Process and approve invoices for payment
    • Process travel expense reimbursement forms
    • Allocate VISA transactions
    • Prepare journal entry transfers and adjustments to accounts payable and credit card expenses
    • Monitor use of OneCards and process OneCard charges to Admissions & Student Financial Services
    • Using approved College vendors, purchase all office and computer supplies through EMarket system
  • Admissions Processing
    • Process all (cash and credit card) application fees and enrollment deposits
    • Enter admissions enrollment information into PeopleSoft database
    • Assist with admissions search matching process when requested
    • Assist with admissions mass mailings when requested
  • Administrative Support
    • See to the constant flow of information to and from the Chief Enrollment Officer’s office
    • Make appointments and schedule meetings
    • Make travel arrangements
    • Maintain calendars for Enrollment Leadership Team members
    • Order food/catering  for luncheon meetings
    • Use Directors Desk to maintain agendas and handouts for Board and Task Force meetings
    • Serve as Zimbra “Shared Calendar” administrator
    • Collect and process bi-weekly and annual time sheets for all clerical employees
    • Compile agendas and produce minutes for various regular meetings
    • Order business cards, notecards, stationery and name badges for division personnel
    • Maintain organization chart
    • Maintain computer databases upon request (“Specials,” “Athletic Recruits,” etc.)
  • Perform other job-related duties as assigned or directed.

Gateway Building Advocate

  • Administrative duties
    • Coordinate scheduling of conference rooms within the Gateway building
    • Process FedEx and DHL mailings upon request
    • Maintain access to conference phone and call numbers for Enrollment and College Communications
    • Serve as new employee liaison to schedule setup of computers, phone lines, and other office equipment & supplies
    • Order name signs for offices
    • Be responsible for maintenance and supplies of office copy machines, fax machines and printers.
    • Be trouble-shooter for computers/phones malfunctions.  Notify building personnel of issues.
    • Be responsible for office and master keys for Gateway
    • Keep a general check on the condition of the building and notify Facilities Services when necessary. Follow up on work orders and calls as required.
  • Perform other job-related duties as assigned or directed.

SOFTWARE USED: Word, Excel, PowerPoint, PeopleSoft, Zimbra (Calendar & Email), EMS Professional, Virtual EMS, Financial Edge, Directors Desk, VIM (VISA), SciQuest, England Logistics (FedEx), Office Depot Copy & Print system


  • Bachelor’s degree or combination of education and experience
  • Minimum five years of experience in a support position
  • Exceptional customer service skills and orientation
  • Strong written and verbal communications skills; ability to compose, edit, and proofread correspondence
  • Demonstrated organizational skills and outstanding attention to detail
  • Flexibility and adaptability
  • Team player who can also work independently and take initiative when appropriate
  • Must be able to maintain confidential information and demonstrate exceptional discretion and professionalism
  • High comfort with technology and various software packages
