POSITION TITLE:  Executive Assistant to the Chief Development Officer

POSITION OBJECTIVE:  Provide executive support to the Chief Development Officer.


Support all functions of the Chief Development Officer (CDO), including:

  • Keep the CDO’s calendar – scheduling meetings and leveraging available times
  • Interface with other departments on campus, as well as external audiences
  • Maintain files and materials related to the work of the CDO, including trustees, cabinet, campaign, etc.
  • Assist in travel planning when needed
  • Manage reimbursements and expenses for the CDO
  • Attend to any detail related to visitors, including trustees and donors
  • Enter actions/contacts/events in PeopleSoft database
  • Produce and proofread a variety of reports, correspondence, proposals, gift agreements and memoranda
  • Assists with event planning and execution as appropriate
  • Serve as the point person for the CDO’s office


Specific direction - Plans and arranges own work; accomplishes assigned objectives; uses a wide range of procedures; refers only unusual situations to the Director of Development.

Internal and external contact involving routine and moderately complicated issues, which may require tact and diplomacy and will involve interaction with alumnae, donors, and Trustees.

 Access to confidential correspondence and staff files.

Usual office conditions; frequent exposure to deadlines/pressure.

Work instructions are received on a daily basis from the Chief Development Officer in both oral and written formats.  These instructions supplement the normal work routine.


This position requires an organized individual experienced in a busy office environment Must be able to work effectively in a team-structured department, prioritize with minimal oversight, multi-task, provide attention to detail, and adapt well to change,. In addition, the individual must possess good computer skills within Windows, MS Office, email, and databases; superior communication skills; a positive attitude, and a high degree of professionalism.

Development experience is a plus. Professional integrity and an ability to maintain confidentiality are a must.
