JOB TITLE: Interlibrary Loan Coordinator

JOB CLASSIFICATION: C/T

SUPERVISOR: Director, Collection Management & Discovery

JOB SUMMARY: Manages interlibrary loan (ILL) operation and performs a variety of complex bibliographical and clerical duties in support of those operations

RESPONSIBILITIES

  • Plans and organizes the interlibrary loan operation
  • Supervises ILL student assistants in interlibrary loan and clerical operations, may prioritize the work of part-time staff assistant
  • Performs interlibrary loan duties:
  • Bibliographic searches and verification
  • Uses computer and interactive online resource sharing systems to initiate, receive, and respond to requests and to communicate with other libraries
  • Uses standard forms to initiate and respond to ILL requests
  • Prepares invoices, receives payment, keeps financial records
  • Performs tasks related to ILL borrowing and lending, including packing, unpacking, photocopying and electronic scanning, receipt notification, recalls, UPS and USPS shipping
  • Maintains ILL records
  • Oversees of mail related to ILL and EzBorrow
  • Sends and receives materials among Tri-College libraries on a priority basis
  • Maintains communication with Haverford and Swarthmore ILL personnel
  • Represents Bryn Mawr College at resource sharing meetings and conferences
  • Hires, trains and directs student assistants
  • Answers routine reference questions
  • Authorized to purchase items for the library collection according to established criteria
  • Performs other job-related duties as assigned or directed

SKILLS AND ABILITIES:

 

  • Demonstrated ability to effectively manage a complex library operation
  • Strong bibliographic skills and working knowledge of standard library procedures (including database searching, familiarity with standard citation formats, ability to evaluate bibliographic citations, etc.)
  • Working knowledge of national interlibrary loan code and resource sharing practices
  • Working knowledge of OCLC and other online interactive ILL systems
  • Superior interpersonal skills

MINIMUM EDUCATION AND EXPERIENCE:

Bachelor’s degree and prior experience in library and bibliographic work, or any combination of experience, education and training which provides the necessary skills, abilities and knowledge.

  • Ability to receive and issue communications effectively
  • Vision sufficient to see and interpret all job-related materials
  • Sufficient mobility to perform essential aspects of the job
  • Ability to lift up to 40 lbs
