Job Title:             Program Coordinator, Undergraduate Dean’s Office

Statement of the Job:

The Program Coordinator will support several core programs offered by the Office of the Dean of the Undergraduate College, including academic advising, student grants programs for research and summer internships, study abroad, and new student orientation (“Customs”).  This position offers broad exposure to the work of academic advising and student services and is situated in a collegial working environment. The position will involve working closely with multiple campus constituencies, including students, faculty, and staff.

S/he will provide one-on-one assistance to students through walk-in hours, providing basic advising to students as well as support for the study abroad and student funding programs. S/he will oversee crucial internal application processes, manage data collection, and generate letters for several programs. S/he will oversee the budget for the study abroad office and process payments for study abroad.  S/he will support the student funding programs for research and summer internships. The Coordinator will also serve as the administrator to the Re-enrollment Committee, the Committee on Academic Standing, and the Study Abroad Committee, recording minutes and drafting documents for the Committees.  S/he will play a crucial role in the Office’s communications, spearheading publicity for opportunities, programs and events, and helping establish and maintain an office social media presence.

Duties and Responsibilities May Include:

Contact with Students

  • Hold walk-in hours each week to advise students, refer them to other resources, sign forms, etc.
  • Assist with organization of annual Student Funding Fair.
  • Assist with new student orientation (“Customs”).
  • Other duties as assigned.

Administration

  • Collect information about study abroad programs and prepare reports for the Study Abroad Adviser and Study Abroad Committee.
  • Draft and issue letters regarding study abroad applications, re-enrollment, academic separation and probation. Generate student funding award letters.
  • Other duties as assigned.

Financial operations

  • Oversee study abroad budget. Process payments for study abroad billing.
  • Process payments for student research and internship grants. 
  • Other duties as assigned.

Data Collection and Process Oversight

  • Log mid-semester reports for students performing poorly and work with students’ deans to provide appropriate follow-up. 
  • Create, process, and track applications for re-enrollment, student funding, and study abroad.
  • Assist with tracking student funding award recipient placement data. Assist with providing data to diverse campus constituencies.
  • Collect and analyze data and prepare reports.
  • Other duties as assigned.

Communications

  • Develop and implement systems for publicizing opportunities and events through a variety of platforms: posters, emails, blogs, etc.
  • Provide support to the current office web steward in maintaining and improving the office’s website.
  • Work to identify appropriate and sustainable social media strategies and implement and maintain such strategies. 
  • Assist with “deansoffice” email account and respond or forward as appropriate. 
  • Oversee communication with approximately 30 faculty first-year advisers.
  • Create, implement, and monitor online platforms for various student applications, evaluations, and reports.  
  • Other duties as assigned.

Education, experience, abilities, and skills

  • Bachelor's degree plus two years of relevant experience or Master's in a relevant field.
  • Ability to work and act independently.
  • Excellent writing, speaking, and organizational skills.
  • Excellent attention to detail.
  • Ability to establish and maintain effective and cordial working relationships with people inside and outside the College.
  • Demonstrated cross-cultural sensitivity.
  • Demonstrated ability to maintain confidentiality and exercise discretion.
  • Demonstrated ability to learn to use the College’s various financial systems (including The Financial Edge) for budget administration, Journal Entries, and Onecard allocation.
  • Demonstrated ability to learn to use PeopleSoft to obtain data about class schedules, enrollments, etc.
  • The position may involve occasional evenings and weekends.
