Event Planning

Room Reservations

Your group must reserve the room/space and date of your event with Conferences and Events. There are 3 ways to do this, which are (in order of preference):

  • Use Virtual EMS
  • Call Debbie Chadwick, x7329 or
  • email roomres@brynmawr.edu

The spaces below are exceptions. To reserve them, you must do the following:

  • Dorm Living Rooms: Contact dorm president
  • Pembroke Dance Studio: Contact Linda Caruso-Haviland, x5208
  • Perry House: Contact President of Perry House
  • Overnight rooms in Wyndham: Call x5236

When you reserve the space please have the following information:

  • Group requesting the space
  • Name of speaker/event-title of talk
  • Audio visual needs such as VCR, laptop, sound system, cassette player, microphone
  • Time the event will take place

Contracts

All students/organizations wishing to host an event on campus where a perfomer will be paid must submit a contract for that event. The contract process is outlined here.


Party Forms

If your organization is hosting a party in a public space, you need a party notification form signed by Public Safety, housekeeping student activities and conferences and events. The form must be returned to Mary Beth Horvath, Coordinator of Student Activities, in the Student Activities Office a week before your event.


Catering

To host an event with food, you may go through Dining Services. If you will have refreshments in any public place on campus, you MUST use Dining Services. Food from other sources (party trays, etc) may be served only with a catering waiver.

Requests for Catering can be made by contacting the Dining Service office at 610-526-7400 during regular business hours, Monday through Friday, 9 am - 5 pm. Requests can also be made by emailing catering@brynmawr.edu.
