Procedures and Calendar for Initial Reappointment Reviews for Tenure Track Faculty

This table provides an overview of and calendar for the steps in an initial reappointment review.

Abbreviations used include: CA for the Committee on Appointments and HC for HC.

It is important to read the following sections, which provide the necessary details on the review process and requirements:

    Eligibility

    Tenure track but untenured Assistant and Associate Professors who are in the penultimate year of their first term. NB. Eligibility may be postponed for family reasons in accordance with the policy for such postponement; see the policy statement.

    September Provost's Office Student RecommendationsThe Provost's Office requests the Registrar to provide the names and addresses of all current students and alumnae who have completed courses with candidate. The Registrar's Office sends labels with this information to the departmental secretary.
    By November 1 Department chairAlumnae letters and current student recommendationsThe departmennt chair requests written recommendations from the alumnae and current students on the list provided by the Registrar; they are due December 1.     By December 1Candidate The candidate's dossier is due.As described elsewhere, the candidate provides a complete dossier to the department chair and 8 copies of the same dossier materials--except for the teaching evaluations--to the Provost's Office for the CA.

  • The department chair requests a recommendation on reappointment from the chair of any counterpart department or from other HC colleagues and provides the HC name(s) to the Provost's Office.
  • The Provost's Office sends one copy of the candidate's dossier to the HC counterpart.
  • By December 1Provost's OfficeCommunity letters The Provost's Office notifies via e-mail all faculty members, staff members, and students of the candidates to be reviewed by CA in the coming semester, indicating that anyone may submit a written opinion on any case.
    By December 15Department chair Letters are due from HC colleagues, BMC students and alumnae 
    By February 1Department chairThe departmental recommendation is due
  • The department chair forwards the candidate's complete dossier, teaching evaluations, student letters, a summary of the student letters, and the departmental letter to the Provost's Office for the CA.
  • The chair informs the candidate orally of the substance of the departmental recommendation.
  • By February 1CandidateDossierAny additions are due in the Provost's Office.
    MarchCA and the PresidentRecommendation
  • The CA makes its recommendation to the President.
  • The President communicates her decision to the CA prior to the Board meeting.
  • The President may elect to inform a candidate and the department chair of her or his intended recommendation in writing prior to the next meeting of the Board of Trustees.
  • AprilBoard of TrusteesDecision on the reappointment

  • After the Board meeting, the President communicates the Board's decision to the candidate in writing in a brief formal letter.
  • The candidate is also invited to request a meeting with the President, the Provost, and the CA chair to discuss the review.
  • In due time, the President, Provost, and CA chair communicate the more detailed elements of the review in a letter to the successful candidate.
