Procedures and Calendar for the Mandatory Review of an Associate Professor

This table provides an overview of and calendar for the steps in the College's Mandatory Review of an associate professor.

Abbreviations used include: CA for Committee on Appointments, HC for Haverford College. It is important to read the following sections, which provide the necessary details on the review process and requirements:

 
Eligibility

Associate professors who hold their positions with tenure are eligible for promotion at any time. The institutional expectation is that five to seven years are normally required to establish a dossier necessary for promotion to full professor. College reviews for promotion may be initiated by an associate professor at any time. They are initiated by the College--via a Mandatory Review--in the ninth year after tenure.

  • The department chair requests a recommendation on reappointment from the chair of any counterpart department or from other HC colleagues and provides the HC name(s) to the Provost's Office.
  • The Provost's Office sends one copy of the candidate's dossier to the HC counterpart.
  • By September 30Department ChairThe departmental recommendation and candidate's teaching evaluations are due in the Provost's Office The department chair informs the candidate orally of the substance of the departmental recomendation.
    By September 30HC College and the Department chairRecommendations from HC is due.The department chair delivers a copy of the HC recommendation to the Provost's office.
    By October 20CARecommendation is made to proceed or not proceed with a full review. The CA communicates its recommendation to the President.

    By November 15Provost's OfficeStudent recommendationsThe Provost's Office requests the Registrar to provide the names and addresses of all current students and alumnae who have completed courses with candidate. The Registrar's Office sends labels with this information to the departmental secretary.
    By November 15CandidateSubmission to the department chair of the list of names and addresses of at least six persons to be her/his outside reviewersSee link for the qualifications of reviewers.
    By November 30CA chairSolicitation of outside evaluationsThe chair of the CA writes to the outside reviewers on the candidate's and the deaprtment's list. In the event of more than three refusals, the candidate or th department will be consulted for alternatives.
    By December 1Provost's OfficeCommunity letters The Provost's Office notifies via e-mail all faculty members and students of the candidates to be reviewed by CA in the coming semester, indicating that anyone may submit a written opinion on any case.

  • The candidate may request a meeting with the President, the Provost, and the CA chair to discussion the CA's consideration of her or his dossier.
