Reappointment and Promotion Procedures for Faculty Members in the Department of Physical Education

Description of Physical Education Appointments
All positions in Physical Education are non-tenure track.
Procedures
Appointment at, promotion to and reappointment at the ranks of Instructor and Lecturer are reviewed by the Undergraduate Dean. Reappointment and promotion at the rank of Senior Lecturer, are considered by the faculty liaison, the Director, the Dean of the Undergraduate College, and the Committee on Appointments.
- Reappointment at the rank of Instructor or Lecturer
Instructors are reviewed annually, in the spring, for reappointment at the same rank. Lecturers are reviewed in the penultimate semester of their term for reappointment at the same rank.
The candidate will supply the Director with a current curriculum vitae along with a self evaluation of teaching, coaching effectiveness, goals and contributions to the Department of Athletics and Physical Education. The Director will prepare a written recommendation concerning the reappointment and forward it along with the candidate's c.v., statement of reappointment and student evaluations (coaching and teaching surveys) to the Dean of the Undergraduate College. The Dean will review the recommendation and supporting documentation and, if in favor, forward it to the Provost, who then reappoints the candidate. If the Dean does not support the reappointment, she will inform the Director.
Promotion Reviews to the Rank of Lecturer
In the spring prior to the academic year of eligibility for a review, the Provost writes to the Director of Physical Education and indicates who in the department is eligible for promotion to Lecturer, outlining the procedures and setting the deadlines for each review. The Provost also writes to each eligible Instructor. The candidate should confer with the Director about the promotion process and if the candidate wishes to move forward, the candidate must indicate this in writing to the Dean of the Undergraduate College and the Provost. The Dean of the Undergraduate College will review all of the material and submit a recommendation to the Provost for the promotion to the rank of Lecturer. If the Dean does not support the promotion, she will inform the Provost and the Director.
Promotion Reviews to the Rank of Senior Lecturer
In the spring prior to the academic year of eligibility for a review, the Provost writes to the Director of Physical Education and indicates who in the department is eligible for promotion to Senior Lecturer, outlining the procedures and setting the deadlines for each review. The Provost also writes to each eligible Lecturer. The candidate should confer with the Director about the promotion process and if the candidate wishes to move forward, the candidate must indicate this in writing to the Dean of the Undergraduate College and the Provost. The Director of Physical Education, in consultation with the Undergraduate Dean (or her representative) and the faculty liaison will prepare a written recommendation concerning the promotion. The recommendation will be supplemented by supporting materials, including student evaluations and recommendations. All materials submitted by the Director of Physical Education are reviewed by the Provost, the Undergraduate Dean and the Committee on Appointments. After receiving the final recommendation from the Committee on Appointments, the President recommends a course of action to the Board of Trustees. The decision of the Board is communicated by the President in writing to the candidate and the Director of Physical Education.
Reappointment at the Rank of Senior Lecturer
In the spring of the academic year preceding the review, the Provost will write to the Director of Physical Education and the candidate outlining the procedures to be followed in the reappointment review. The Director of Physical Education, in consultation with the Undergraduate Dean (or her representative), and the faculty liaison will prepare a written recommendation concerning the reappointment of the Senior Lecturer. All materials submitted by the Director of Physical Education are reviewed by the Provost, the Undergraduate Dean and the Committee on Appointments. After receiving the final recommendation from the Committee on Appointments, the President recommends a course of action to the Board of Trustees. The decision of the Board is communicated by the President in writing to the candidate and the Director of Physical Education.

The Director's Responsibilities and the Departmental Review of Candidates for Promotion to Senior Lecturer or Reappointment as Senior Lecturer
- Participating members of the faculty
It is the responsibility of the Director (or Dean's designee) to conduct the departmental review of each Lecturer in the department who is under consideration for promotion to Senior Lecturer and to direct the review for reappointment of Senior Lecturers. The Director should consult all members of the department. Appropriate members of other departments, as determined by the department or Director, the Provost, and the President, may be asked to share in this responsibility. The faculty liaison (or appointee) will provide the Dean of the Undergraduate College with a written recommendation.
- Consultation with Haverford College
The Director should consult with the Director of Athletics at Haverford College. The Director should provide the Director of the Haverford Athletic Department with the candidate's curriculum vitae and should request that the Haverford department's written recommendation be mailed to the Bryn Mawr Director. The Haverford department's recommendation may be either a single statement arrived at through consultation among those members of the Haverford department senior in rank to the candidate or individual letters from those same members of the Haverford department. The Director of Physical Education should forward the Haverford department's letter(s) to the Office of the Provost along with the Bryn Mawr department's own recommendation. The Haverford department members should also feel free to communicate directly with the Committee on Appointments.
- Submission of materials
On or before the deadlines set in the letter from the Provost, the Director should forward the following materials to the Office of the Provost:
- The candidate will supply the Director with a current curriculum vitae and a written self evaluation of teaching, coaching effectiveness, goals and contributions to the Department and the College.
- Departmental recommendation
- Those members of the Department of equal rank will be asked to submit individual letters of recommendation. The Director should inform the individuals responsible for the recommendation that they may write directly to the Committee on Appointments or to the Dean of the Undergraduate College.
- The Director will write a letter of recommendation after interviews with each department member and the solicitation of their recommendations. The recommendations should include:
- an evaluation of teaching and coaching effectiveness, including a description of the means by which such an assessment was made;
- an assessment of the candidate's ability to contribute to the future curricular needs of the department;
- an assessment of the candidate's ability to work within the framework of the department, the College, the Centennial Conference and the NCAA;
- an evaluation of contributions to the department and the College community as a whole.

- Letters of recommendation outside of the College
- Student evaluations
- Outside Reviewers
The Committee on Appointments will solicit evaluations of the candidate's work from persons with appropriate professional competence and stature to judge it. In the case of promotion to the rank of Senior Lecturer, the Committee will request two letters from a list of two or three names provided by the candidate, and two from a list of two or three different names provided by the Director.
- Student Evaluation of Teaching Effectiveness
Teaching evaluations are used in the reviews of all members of the Physical Education department for promotion. In the reviews of candidates for promotion to the rank of Lecturer and Senior Lecturer letters from students will be solicited and entered into the department's recommendation.
The following procedures apply:
- The Director shall solicit letters about the candidate's teaching and coaching effectiveness from a large sampling of students whom the candidate has taught or coached at the College. If the numbers are manageable, all students will be solicited.
- These letters shall be signed by the students who submit them, but they shall be treated in confidence by the Director, the Dean of the Undergraduate College and the faculty liaison.
- Student evaluations are regularly solicited at the end of physical education classes and intercollegiate seasons and will be included with the student letters.
- The Director shall compile a written statement, stating the methods of sampling.
- The letters and evaluations shall be submitted to the Provost and the Dean of the Undergraduate College and the faculty liaison along with the departmental recommendation as part of the material to be consulted in the course of the review.
- All original letters of evaluation from students shall be sent to the Office of the Provost.
- In circumstances in which the student response to the department solicitation is judged by the Committee on Appointments to be too small or otherwise inadequate, the Committee on Appointments may directly solicit student opinion.
Professional Leaves
Senior Lecturers who have a minimum of seven years service at the College may apply for a professional development leave, with one semester at full pay or two semesters at half pay. The candidate should submit a written request to the Director of Physical Education by October 1 of the year preceding the intended leave, outlining the scholarly or professional goals sought and the procedures to be followed in pursuit of these goals. In a letter recommending the granting of the leave to the Provost, the Director of Physical Education must indicate the impact the leave would have on the department and the department's plans for addressing that impact. Department members are eligible for leaves every seven years.
