Procedures and Calendar for Review for Reappointment with Tenure

This table provides an oversight of and calendar for the steps in a reappointment review effecting tenure.

Abbreviations used include: CA for Committee on Appointments and HC for HC College.

It is important to read the following sections, which provide the necessary details on the review process and requirements:

  • Eligibility

    • Assistant Professors whose first term at this rank was a three-year term and who are in their fifth year of full-time service at the College.
    • Assistant Professors whose first term at this rank was a four-year term and who are in their sixth year of full-time service at the College.
    • Associate Professors in the penultimate year of their term.
    • Assistant and Associate Professors on part-time tenure-track appointments whose full-time equivalent service is such that reappointment would carry with it tenure.
    NB. Eligibility may be postponed for family reasons in accordance with the policy for such postponement; see the policy statement on postponement of the tenure decision, aka "stopping the tenure clock". In exceptional cases Assistant Professors in their second term may be reviewed early for tenure and promotion.

    By May 1 of the antepenultimate year Provost's Office Student RecommendationsThe Provost's Office requests the Registrar to provide the names and addresses of all current students and alumnae who have completed courses with candidate. The Registrar's Office sends labels with this information to the departmental secretary.
    By May 31 of the antepenultimate year CA chairSolicitation of outside evaluationsThe CA chair writes to the outside reviewers on the candidate's and the department's lists starts with the first six names on the candidate's and the department's lists. In the event of more than three refusals, the candidate or the department will be consulted for alternatives.
    By June 10 of the antepenultimate yearCandidate The candidate's dossier
  • The candidate's dossier is due to the chair.
  • The candidate provides dossier materials to the Provost's Office for the CA and for mailing to the outside reviewers.

  • The department chair requests a recommendation on reappointment from the chair of any counterpart department or from other HC colleagues and provides the HC name(s) to the Provost's Office.
  • The Provost's Office sends one copy of the candidate's dossier to the HC counterpart after consultation with the department chair.
  • By June 10 of the antepenultimate yearDepartment chairAlumnae letters The department chair requests written recommendations from the alumnae on the list provided by the Registrar; they are due September 15.
    By September 1 of the penultimate year of the termDepartment chairStudent recommendations are soughtThe department chair requests written recommendations from currently enrolled students, which are due September 15. Link to guidelines on student evaluation of teaching effectiveness.
    By September 1Provost's OfficeCommunity letters The Provost's Office notifies via e-mail all faculty members, staff members, and students of the candidates to be reviewed by CA in the coming semester, indicating that anyone may submit a written opinion on any case.
    By September 25Outside ReviewersLetters are due. The CA chair checks their arrival and contacts those who have not responded.
    By September 25HC colleagues, BMC students and alumnaeLetters are due  
    By September 25Department chairRecommendation is due.
  • The department chair forwards the candidate's complete dossier, teaching evaluations, student letters, summary of student letters, and the departmental letter to the Provost's Office.
  • The chair informs the candidate orally of the substance of the departmental recommendation.
  • By October 1Provost's OfficeOutside reviewsThe reviewers' letters are sent to the department once its recommendation and the candidate's dossier have been received by the Provost's Office.
    By October 10DepartmentOutside lettersThe department's written response to the outside reviewers' evaluations is due.

  • CA makes its recommendation to the President.
  • The President communicates her decision to the CA prior to the Board meeting.
  • The President may elect to inform a candidate and the department chair of her or his intended recommendation in writing prior to the next meeting of the Board of Trustees.
  • FebruaryBoard of TrusteesDecision on the reappointment 
    FebruaryPresidentDecision on the reappointment After the Board meeting, the President communicates the Board's decision to the candidate in writing. The candidate may request a meeting with the President, the Provost, and the CA chair to discuss the review.
