Delegation in Workday

As part of our continued support following Workday go-live, we want to highlight a helpful feature many BMC employees are beginning to use: Delegation. 

Delegation allows you to share Workday tasks with a trusted colleague or administrator, helping work move forward even when your schedule is full or you’re away from campus.

What is Delegation in Workday? 

Delegation lets you authorize another employee to help with Workday tasks in one of two ways: 

  1. Start on My Behalf - This option allows someone to begin a task for you — such as an expense report, or a requisition request - enter initial information and either save it for your final review or submit for approval. You remain responsible for reviewing, confirming accuracy, and submitting the task. This can be especially helpful during busy periods like finals or midterms, or campus events and conferences.
  2. Approve or Act on Specific Tasks - Delegation can also allow someone to take action or approve specific Workday tasks on your behalf. This option is typically used when you are traveling, attending a conference, or otherwise unavailable, and helps ensure important processes continue without delay while you are out of the office. 

Important Notes

  • Delegation is available to support how you work. Use it when it helps reduce bottlenecks or manage workloads during especially busy periods.
  • Not every task needs to be delegated in Workday. For routine activities (for example, ordering office supplies), it may be simpler for the person who normally orders supplies for your department to place order and receive them - rather than setting up a delegation in Workday.
  • Delegation is intended to keep work moving—not to shift all Workday activity to another person.  Assigning too many tasks or broad delegations can unintentionally overwhelm colleagues and create confusion.
