Program Finder Photo Update Process 

Purpose 

This process ensures that all Majors, Minors, and Concentrations Finder (Program Finder) photos on the Bryn Mawr College website are current, accessible, and aligned with the College’s visual identity and brand. It outlines criteria and steps for updating photos, providing a consistent method for faculty, the Office of Communications & Marketing (OCM), and the Web & Digital Strategy Team to manage future updates. 

Regular Maintenance Intervals  

To keep photos fresh and relevant as Bryn Mawr College and our website evolves, OCM will evaluate Program Finder photos according to the review calendar below. Reviews will occur once in the Spring and once in the Fall each academic year.  

The Web & Digital Strategy team will present photos to the OCM team at the beginning of each semester. The OCM team will discuss all Program Finder photos up for review to identify outdated or non-compliant images. The Web & Digital Strategy team will then coordinate with department chairs and/or representatives to update images identified as needing replacement.

Criteria for Updating Photos 

A department photo may be updated if it meets one or more of the following criteria: 

  • Outdated Content: The image no longer represents current faculty, students, or facilities. 
  • Low Quality: The photo appears blurry, pixelated, poorly lit, or cropped incorrectly. 
  • Accessibility Issues: Missing alt text, low contrast, or text embedded in the image. 
  • Brand Alignment: The image does not reflect Bryn Mawr’s professional and inclusive tone, or image does not convey academic pillar. 
  • Copyright or Permission Concerns: Image ownership or usage rights are unclear. 
  • Routine Refresh: Optional aesthetic or seasonal updates every few years to keep pages current. 

Updates Outside of Biennial Review 

Outside of the formal biennial review period, Department Chairs, or representatives as authorized by the department Chair, may request updates to Program Finder images through the OCM Intake Form. 

Submission Process for Faculty Chairs/Representatives 

  1. Identify the need: Determine if your program's image meets the criteria above. 
  1. Prepare your image:
    • Minimum width: 1200px (landscape preferred).
    • File format: JPG or PNG, under 1MB in file size.
    • Confirm you have permission to use the photo.
    • Refer to the Using Photos Resources Guide found on the OCM Resources Page. 
  1. Submit your request:
  1. Approval:
    • OCM reviews quality, accessibility, image permissions, and suitability of meeting the College’s overall strategy brand and identity guidelines.
    • If approved, the photo will be uploaded and published.
    • If not approved, feedback will be provided by the Web & Digital Strategy Team, with an aim to make revisions or find an alternative image.  

Accessibility & Brand Checklist 

Before submitting or uploading any image, confirm that: 

  • The image is clear, well-lit, and professional in tone. 
  • Alt text accurately describes the image’s content and purpose. 
  • The image conveys the theme of the department. 
  • No text is embedded in the image. 
  • The image is cropped correctly and under 1 MB in size. 
  • The image is free from watermarks or copyright restrictions. 
  • The image shows clear, positive branding. (No blurry or out-of-focus photos, negative expressions, explicit content, AI or stock photos.
