Administrative Assistant, Athletics
Bryn Mawr College has an opening for an Administrative Assistant in Athletics.
Position Overview: Reporting to the Director of Athletics, Physical Education and Wellness with oversight by Associate Athletic Director, the Administrative Assistant supports the Athletics leadership team and coaching staff in support of 12 Division III varsity sports.
This full-time position includes a schedule of 9 AM – 5 PM, Monday-Friday, with a one-hour unpaid meal break during the academic year (35 hours per week over 39 weeks) and 21 hours per week during the summer (3 days at 7 hours per day over 13 weeks) (1,638 hours annualized).
Responsibilities:
- Manage and facilitate the scheduling of varsity team transportation and department van usage.
- Process credit card reconciliation for the department.
- Serve as primary contact for athletics competition scheduling. Communicate with opponents to confirm dates of home and away contests.
- Coordinate with assignors and coaches for all teams and execute payments for all officials.
- Coordinate, distribute and collect end of season student-athlete surveys for each team.
- Organize reports for PE faculty reappointment process.
- Maintain accurate records of volunteer coaches.
- Process E-Market payments and bills for athletic teams and department staff.
- Schedule department meetings and reserve space on behalf of the department.
- Support the administrative needs of the department.
- Greet students, faculty, staff, prospective students, and other visitors to the Schwartz Fitness and Athletic Center.
- May perform other duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Minimum one-year relevant professional experience required. Work history in an athletic department preferred.
- Demonstrated proficiency in MS Word, Excel, Outlook, and related applications.
- Strong organizational and time management skills.

- Ability to prioritize and multitask, maintain a high level of confidentiality, and work collaboratively with others.
- Strong oral and written communication skills, with the ability to represent the Athletics department and institution in a professional and welcoming manner.
