2/6/26: Finance & Administration Newsletter
Thank you for your patience, flexibility and engagement as we adjust to using Workday for HR and finance functions. It’s exciting to see so many employees and managers using the system successfully for daily activities.
Workday is now the system of record for many important tasks including entering and approving time, submitting and approving expenses, and managing absences. To stay on top of these activities, we encourage everyone — especially manager and approvers — to check Workday regularly.
Here are a few tips to help you stay connected:
- Read your Workday Daily Digest email. This message alerts you to any Tasks you need to act on and summarizes Inbox Notifications for your awareness.
- Log into Workday directly to review My Tasks and Inbox Notifications; some actions require you to be in the system to complete them.
If you’re unsure how to complete a task in Workday, there are several helpful resources available to support you:
- How-To Guides and Training Videos provide step-by-step instructions for common Workday tasks. You can also access recordings of past Workday training sessions.
- Help Text is built directly into Workday. Look for on-screen icons and tips that explain new terminology and guide you through fields as you work.
- Help Desk Support is available if you continue to have trouble or something isn’t working as expected. Contact the Help Desk at help@brynmawr.edu and our team will be happy to assist.
These resources are designed to support you as questions come up and to help you complete tasks confidently and efficiently.
You’ll see more Workday updates throughout the month, particularly from our Finance and HR teams. As both the system and our processes continue to evolve, we’ll keep you informed and supported along the way. Thank you for being part of this ongoing transition!

1/7/26: Finance & Administration Newsletter
Workday opened for time entry on December 15 and launched for the entire campus community on January 5. We hope you all have been able to log in and begin exploring! We will continue with our stabilization period throughout the next few months, as we get adjusted to working in our new system.
Please review the Workday Day 1 Checklist that was sent out via email on January 5 to ensure your information and selections in Workday are accurate. The checklist will ask you to review items such as your payment and tax elections, your contact information and your supervisory organization.

The Workday project team is working carefully to make sure all affected College processes transition to Workday for January 5 go-live. Your careful attention to Payroll, Finance, and HR deadlines will help ensure everyone gets paid on time and our changeover from E-Market and GRAM (College Credit Cards) to Workday is successful.

December 15, 2025: Workday opens for Biweekly and Student Time and Absence entry and Manager Approvals
January 5, 2026: Workday goes live for all users and functions

11/3/25: Finance & Administration Newsletter
Workday will be available beginning December 15th for time entry only, and for staff, faculty, and student use broadly on January 5th. Our move to Workday includes cutting over from E-Market, Financial Edge, GRAM, JobX, and employee self-service in PeopleSoft/Bionic. We chose a January go-live date to ease these transitions. Please watch for communications about important dates and deadlines.
User Readiness Review (URR) ran the week of October 13. A big thank you to the Workday CAN! for helping us evaluate our training materials. The Workday training program launched on September 16th. Please register and reach out to nextgen@brynmawr.eduwith questions.
The Workday Pep Rally on October 22nd had a great turnout, and we were thrilled to see so many students, colleagues, project team members, and senior leaders stop by to ask questions, win a prize, and cheer us on! Thank you for your support!
Change is hard but using Workday is not. There will be many wins associated with our move to Workday, including:
- Workday Mobile for Time Entry: Hourly employees and managers can enter and approve time from a web browser or their mobile device, making it easer to submit hours accurately and on time, wherever you are.
- Workday Mobile for Expenses: Submit and approve expenses from anywhere with the app.

10/2/25: Finance & Administration Newsletter
The Workday training program launched on September 16th. We’re thrilled to see so many of you registering early and often! In addition to the training schedule, we have lots of great resources on our project website to decide what classes to take. Reach out to nextgen@brynmawr.edu with any questions: we’d love to make you a training plan!
The Workday Support and Training Advisory Group is working with Subject Matter Experts and project team Leads to review and validate training materials. The Change Agent Network will put these guides to the test later in October by using them to complete common tasks in Workday.
The Workday team completed the largest project milestone to date on September 26th: End to End testing. The project team has passed 96% of over 3000 test scenarios in areas of HR, Finance, and Faculty Affairs, and will continue to pass additional tests as more data and system integrations and Workday reports are completed.
Save the date for two in-person opportunities in October: Coffee Hour on the 7th will feature Workday project updates and on the 22nd we’ll be hosting a Workday Pep Rally on Taylor Drive with snacks, games, prizes and a Workday question booth.
9/2/25: Finance & Administration Newsletter
The project team is currently ahead of schedule for End-to-End Testing and working through different user-based scenarios every day. End-to-End testing simulates how users will interact with Workday in their daily workflow and helps our team identify potentials issues before they occur, ensuring a smooth user experience. We have passed over two-thirds of our tests and have 3 weeks of testing to go!
Detailed course descriptions of the BMC Workday Training Courses are now available on the project website. More information, including a training schedule with registration links, will be available later in September. On-demand training videos will be available starting in November, and instructor-led training will occur in December-January.
We hope you can take a moment to thank the employees who make up our Workday Project Team for taking the time and making the effort to complete this project. They have put in many hours understanding how Workday can and will benefit BMC while also completing their regular day-to-day responsibilities to the college community. We can’t begin to thank them for all their hard work!

8/1/25: Finance & Administration Newsletter
We’re pleased to announce that the Workday training schedule will be available to the Bryn Mawr community in September! Training will occur November - January with a week of in-person sessions planned for the first week of December. Save the date, and watch for more details soon! We presented our Workday Training Plan to the Change Agent Network, Support & Training Advisory Group, Project Team, and campus leadership on July 30th and will incorporate their feedback into our offerings.
Data validation in our newest Workday testing tenant is complete. The project team is now in End to End testing, which will continue until September 19th.
Reminder: When we go live with Workday in January 2026, there will be a stabilization period during which routine business processes may seem more complex because we are adjusting to using Workday. As a community, we must remember patience and understanding towards ourselves and others as we learn this new system.

We're testing BMC's newest Workday build this summer to ensure all processes flow correctly from beginning to end. Training plans are in process with input from CAN!, campus experts, and Alchemy.
6/2/25: Finance and Administration Newsletter
The Workday project is almost through the Architect & Configure Stage; the project is on time and on budget. Unit testing, where the team tests functional configurations in a Workday test tenant, wrapped up last week. Alchemy is currently building our next tenant with a fresh set of Bryn Mawr data so that we can begin End to End testing in a couple of weeks. During this phase we test entire process lifecycles from start to finish. The project team is also busy understanding what College reporting needs will be met by Workday-provided reports, and what custom reports will need to be built. This will take a few more weeks as well. Over the summer we’ll be sharing guidance about what the move to Workday means for you and your department

The Workday project team is hard at work testing Bryn Mawr's configurations (with actual Bryn Mawr data!) to make sure they meet the College's needs. 6/25/24: Haverford College Daily Digest
Bryn Mawr announced on 6/24 that they have selected Workday for their next-generation finance and human resource system: the project will begin this fall. After going live with and stabilizing finance and HR, Bryn Mawr will work together with Haverford on a next-generation student information system project (BiONiC successor). 6/24/24: NextGen Enterprise Data & Systems Update: Announcing Workday

We’re writing to share with the Bryn Mawr College community that we have reached a major milestone in the BMC Next-Generation Enterprise Data & Systems Strategic Planning & Institutional Readiness project. We are very pleased to announce that the College will implement Workday, a leading platform in the ERP (enterprise resource planning) and higher education space.
The strategic planning project began in March 2023, and the core project team, in partnership with Moran Technology Consulting, has stepped through several important preparatory phases that stand us in good stead to begin system implementation in fall 2024. Workday will replace PeopleSoft (BiONiC) and Financial Edge for Human Resources and Finance. We will remain on BiONiC for the Student Information System (SIS) for the next few years.
This summer we will finalize a contract with a consulting partner who will support Bryn Mawr throughout our implementation, and the project team will prepare for implementation by way of data clean-up and continuing business process mapping. Implementation will include helping us adapt or redesign many of the College’s business processes that are currently supported by PeopleSoft, other local systems, or manual/paper processes so that we can benefit from streamlined processes supported by Workday. We plan to go live with Workday with critical administrative processes in place in January 2026. We will engage the community during implementation and support everyone in orienting to the new platform.
Following a stabilization period, next we will move into planning for migration from Peoplesoft to a new student information system, integrated with the Bryn Mawr Workday platform, to enable registration, advising, and related academic support functions. This next-gen Student implementation phase will happen in collaboration with Haverford College so that we ensure our BiCo student systems operate in an integrated way in support of BiCo curriculum, students, and faculty. We look forward to supporting this transformative work at Bryn Mawr, and to our continued coordinated planning and future implementation work with Haverford colleagues.

5/9/24: The Lantern Newsletter
The Next-Gen ERP system evaluation team has been conducting a thorough evaluation of software and system implementation vendors, and the Board of Trustees affirmed their support for this process at its April meeting. We expect to share updates with the community as early as June. Implementation planning and data conversion will begin this summer with an official project kickoff in the fall. The NextGen Enterprise Strategic Planning & Institutional Readiness project team has had an active fall. A Request for Proposals (RFP) is out for software and implementation services and business process review is underway in HR and Finance areas. The team will be reviewing vendor proposals in January and hosting vendor demos in the second half of February. We will share event details in the new year. 4/21/23: Next-generation Enterprise Strategic Planning Project

In partnership with Moran Technology Consulting, Bryn Mawr College has begun to plan strategically for our next-generation enterprise data and systems environment, with a goal of replacing the existing Bionic/Peoplesoft and Financial Edge systems in the upcoming years. This year-long planning process will include a review of our existing Human Resources, Payroll, and Finance applications, as well as the Student Information System that is shared with Haverford College. We will be looking closely at the two leading platforms that are being adopted by most peer institutions: Oracle Cloud and Workday.
Through this project, we will identify what we want the system to do (“functional requirements”); how we want to store, organize, and access our institutional data; and which business processes we should modify to improve efficiencies. Additionally, we will identify what resources are needed to successfully manage a systems conversion of this magnitude. We will evaluate the leading enterprise software platforms, and select both a platform and a consulting partner to assist Bryn Mawr with the implementation of the new system.
The planning team will share monthly project updates in the Lantern newsletter to keep everyone informed about the process, including opportunities in the early fall for campus constituents to provide input and feedback. From March 2023 - August 2024, Bryn Mawr College partnered with Moran Technology Consulting (MTC) to plan strategically for implementation of a new enterprise ecosystem.
Through this project, we articulated requirements for enterprise functionality and institutional data use, reviewed and updated business processes and project resource needs in key areas, evaluated leading enterprise platforms, and selected both a platform and an implementation partner to assist us with the next phase of the project.
Outcomes of this project include plans for sequenced migration from PeopleSoft and Financial Edge to a new HR/Payroll/Finance system for Bryn Mawr and a new Student Information System for BiCo. In tandem, we are in the process of articulating an associated next-generation enterprise data strategy.
