Administrative Receptionist, Counseling Services

Bryn Mawr College has an opening for an Administrative Receptionist in Counseling Services. This is a benefits-eligible, 10-month position that works 37.5 hours during the academic year from late August - May with summers off.

Reception Duties:

  • Provide respect, caring, integrity, professionalism and confidentiality in all communications with students, parents, faculty, and staff.
  • Greet visitors and answer telephone and emails, maintaining confidentiality and professionalism.
  • Schedule appointments using MedicatOne, the electronic medical records system (EMR).
  • Check clients into appointments and communicate with clinicians as needed throughout the day.
  • Assist students in completing paperwork and navigating their electronic health record (EHR), as needed, while maintaining their privacy.
  • Follow-up on ProtoCall reports by calling students as needed and documenting in the EHR.
  • Record any communication with students or about students, outside of routine scheduling, on the EHR.

Administrative Duties:

  • Check voicemail and email throughout the day, answer inquiries about general Health & Counseling (H&C) practices, and route messages to the appropriate staff person when needed.  
  • Oversee the distribution, collection, and processing of Counseling paperwork and client information.
  • Scan documents into EMR.
  • Gather and submit timesheets to Director for review.
  • Proactively maintain a welcoming and tidy environment in the waiting area and office space. This includes updating the area with current flyers, event information, and reading materials.
  • Maintain a tidy staff kitchen and ensure staff remove foods or food is thrown out before extended breaks. This is done in conjunction with Health Services Receptionist/Admin.
  • Maintain copy/fax/scan machine(s), retrieve, and route incoming faxes and incoming/outgoing mail.
  • Maintain office and kitchen supply inventory and ordering, as approved by Director.
  • Pay non-pharmaceutical invoices such as ProtoCall and Medicat.
  • Serve as administrative liaison with Medicat.
  • Proactively complete room reservations when needed for meetings.
  • Maintain and anticipate website changes as updates occur.
  • Order food and supplies for any service events.
  • Develop and update forms and standard letters, as requested by Director.
  • Provide support as needed for contracting with other vendors or departments, which may change based on the needs of the Director.
  • Manage invoice and bill payment through e-market.
  • Other duties as assigned.

Work Hours:

Monday – Friday 8:30am – 5pm during the academic year with an hour lunch break.

 

Qualifications:

Education and Experience:

  • High school diploma
  • 1-2 years of related work experience
